How to Move Cards Between Stages (Step 4)

For Arbitrary Workflows

This is easy. In the Board View (Kanban View), you only need to drag an drop a card from one stage to another.

In the List View, you can use the Move icon at the beginning of each record (card) to move a card from one stage to another.

For Structured Workflows

In structured workflow you cannot manually move cards between stages like in Arbitrary workflow. This is because, the flow and the rules are set by your system admin when designing the workflow. The next stage will be determined based on the card assignee action of each stage.

In a Structured Workflow, there are different types of actions you can perform based on the type of the Current Stage of the workflow. Following table should give you a fairly good idea about it.

Description

Create a new card

Submit

Saves the details on the form and sends the card to the next stage in the workflow. The next action will be assigned as a task to the assignee of that stage.

 

Cancel

Cancels the card creation

Pending Approval

In this stage you a card has come for your approval. You are the owner/assignee of this stage. You next action at this stage will determine the flow of the card. Following are the possible actions for you in this stage.

 

Approve

Card has come for you approval and approving it will progress the card to the next stage in the workflow.

 

Reject

Rejecting a card will send it back to the creator of the card. When you reject a card, you will be prompted to enter a reason for rejection.

 

Send Back

This action will send the card back to the previous stage (will be assigned to the previous assignee). You will be prompted to enter a reason for sending it back.

 

Re-assign

You can re-assign the card to another user if required. You again will have to provide a reason for this action.

 

Save

If you want to make some changes to the card, but do not want to take the next action yet, then you can do the changes, save them and always come back for the approval process later.

Pending Input

This is where you are being asked to give some inputs to the card. This mostly will be an action like updating a field or table in the card.

 

Submit

You can update the field(s) or table(s) in the card and submit. This will save the information and progress the card to the next stage.

 

Send Back

You may need some more information to complete this action, therefore, you may send it back to the previous step with a comment.

 

Re-assign

You can re-assign the input responsibility to another user with this action. You will be prompted for a reason.

 

Save

If you want to make some changes to the card, but do not want to submit yet, then you can do the changes, save them and always come back for the submission later.
