What is a Workflow in WorkHub24?
When a process is mapped and modeled in WorkHub24, it’s called a Workflow.
You can have many workflows in your instance of WorkHub24. There are ready-made Workflow templates to start from or you can create from scratch. One of the main interfaces WorkHub24 represent a Workflow is a Kanban board, there’s a list view as well.
There are few elements of a workflow,
- Cards
- Stages
- Tasks
- Permissions
What is a Card in WorkHub24?
The first action in a workflow is creating new items, these could be requests, jobs, cases, applications, leads, etc. They could be created manually or triggered by some other event. Since WorkHub24 mainly uses Kanban boards to represent workflows, we refer to items created in workflows as “Cards”.
A Card is essentially an information ‘Form’. This ‘Form’ has fields, tables and few other information.
What are Stages in a Workflow?
These are steps of the process, when transformed to a workflow we call them stages. Stage transition can be manual or automated based on the type of the workflow.
Different types of Workflows in WorkHub24?
As explained in the What is a Process article, WorkHub24 models processes in to 2 patterns for the purpose of creating workflows.
- Arbitrary
- Structured
Similarly, WorkHub24 models workflows into two patterns,
1. Arbitrary Workflows
These are ad-hoc workflows. They are unstructured and doesn’t impose restrictions on how a card should move from one stage to another. This simply means end users are able to move cards from one stage to another based on the outcome of the current state of events.
Example of such a workflows are is Sales Lead Management, Complaints Management and Legal Case Management.
2. Structured Workflows
These workflows are well structured. Stages are clearly defined with assignees for each stage and a well-defined action item (called a task). A task in a workflow in enabled after the completion of a preceding task in the previous stage. These workflows are executed in sequence or parallelly.
Examples of these Workflows are, Procure to pay, Expense request/approval and Application to approval.
